Job Description
Key duties and responsibilities
1. Preparing training objectives for the CO classroom.
2. Developing instructional plans and materials for the CO program.
3. Delivering CO training sessions, including group and individual consultations.
4. Assisting with the logistical planning for Cultural Orientation Circuit Rides.
5. Serving as cross-cultural information providers on issues specific to refugees resettling in the U.S.
6. Participating as a team member in planning CO training activities.
7. Preparing required reports and documentation relating to CO training sessions.
8. Facilitating cross-cultural communication and understanding among CO participants.
9. Maintaining a current understanding of the US Refugee Program.
10. Performing other duties which may be assigned and developed in order to improve the operations of the CWS/JVA office.
Requirements
- Professional teacher training Diploma certificate plus a minimum of 3 years teaching experience
- At least one year living in the U.S.

Job Description
As a member of the Senior Management Team, to provide strategic financial input to decisions to be made covering all areas of ministry. To define and implement financial policies in such areas as, but not limited to: budget, cash management and forecasting, funding by donors (especially Governments), recording and documentation, project auditing, monthly financial reporting and local resource acquisition. In short to plan, direct and control the financial resources of the organization so that all financial obligations are met as required; and to ensure overall financial management of the organization.
KEY OUT PUTS:
Timely Annual Budgets. Timely availability of financial resources, their optimal utilization, safety and timely accountability. Up-to-date financial records, statements and report. Adherence to generally accepted accounting principles, as well as accounting policies and practices laid down by the organization. A University education with a major in Finance or Accounting. Requires a full Chartered Accountant/Certified Public Accountant qualification (or equivalent) with a minimum of five years’ post-qualification experience, a minimum of three years of which must be in a senior supervisory role. Must have a proven knowledge of Generally Accepted Accounting Principles and a practical knowledge of financial systems (ideally SUN computer systems and internal controls). Requires proven experience in treasury activities, establishment and monitoring of budgets, and an understanding of data processing concepts and systems. Computer literacy and working knowledge of spreadsheet applications essential, ideally EXCEL. Must have good oral and written communication skills, team building skills, and ability to work in a cross-cultural environment with a multinational staff. Needs fluency in English. II. Background

UNDP Somalia is a growing organization which focuses on three practice areas: rule of law and security, governance and poverty reduction/sustainable livelihoods.
Under the guidance and direct supervision of the DCD (O), the Executive Associate to DCD (O) ensures effective and efficient functioning of the DCD's (O) Office, full confidentiality in all aspects of assignment, maintenance of protocol procedures, management of information flow, follow up on deadlines and commitments made.
The Executive Associate to DCD (O) works in close collaboration with UNDP CO and SOs staff, UN Agencies, national authorities, and UNDP HQs staff to ensure efficient flow of information, actions on instructions, agendas, prepare draft letters on behalf of the DCD (O).
The Executive Associate will provide Programme and Operations Support to the Deputy Country Director (O), acting as a key interface with all Units in the CO and other UN agencies.
The Executive Associate may supervise other staff in Operations performing clerical functions whose job is related.
III. Functions / Key Results Expected
1. Ensures effective and efficient functioning of the DCD (O) office focusing on achievement of the following results:
- Coordinate and maintain the supervisor's calendar of meetings, organize meetings, contacts with high-ranking visitors, arrangement of appointments and meetings, draft replies to invitations and meetings; researches briefing materials, acting as an interpreter when required and/or taking minutes.
- Maintenance of CO protocol procedures.
- Preparation of high quality briefing materials for supervisor appointments, meetings, missions.
- Preparation of informal translations.
- Maintenance of rosters of high-level partners, telephone lists.
- Preparation of correspondence, directives, comments on behalf of DCD (O) for his/her signature and making follow up when required.
- Use of automated office management systems for effective functioning of the DCD (O) office.
2. Ensures provision of effective communication support to the office on achievement of the following results:
- Maintenance of the filing system ensuring safekeeping of confidential materials. Use of automated filing system.
- Facilitation of information sharing between SOMT and DCD's (O) Office.
- Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to DCD (O).
- Review and screening incoming correspondence for the DCD's (O) attention and prioritize documents according to action required; review and edit outgoing correspondence for the DCD's (O) signature; ensure quality control, substance, sensitivity of issues, and that they are prepared according to UNDP standards;
- Presentation of proposals to eliminate communication bottlenecks in the office and streamline office procedures between the supervisor's office and subordinate division.
3. Ensures administrative support to the DCD (O):
- Assist in managing day to day operations of the DCD (O) office; convey to staff directives and information from the DCD (O); participate in and drafts minutes of meeting and ensure that actions agreed upon are taken by the concerned staff.
- Co-ordinate DCD's (O) participation in Programme/Operations activities by monitoring and managing the DCD's (O) daily programme and providing guidance to units in preparing background/briefing documents for the DCD (O). The incumbent also provides support to units in preparing speeches, papers, and letters for DCD (O) ensuring quality and relevance to subject and themes.
- Make arrangements for official travel of the DCD (O), communicate with meeting organizers/country offices on logistics; set itinerary, prepare travel request, follow up on the authorization, obtain clearances, visas, tickets necessary for travel.
- Coordinate preparation of briefs in response to requests for information by
UNDP and other relevant agencies;
4. Ensures facilitation of knowledge building and management focusing on achievement of the following results:
- Consolidate contributions for a weekly SOM OPS e-bulletin and oversee the SOM OPS intra/internet web page
- Sound contributions to knowledge networks and communities of practice.
- Organization of specialized trainings for secretaries.
- Organization of trainings to UN Staff on coordination, administration and protocol issues.
5. Any other assignments at the request of the Deputy Country Director (Operations).

V. Recruitment Qualifications
Education: Secondary Education with specialized secretarial training. University Degree or equivalent would be desirable, but it is not a requirement.
Experience and Competencies: 5 to 7 years of progressively responsible secretarial, administrative, programme experience is required at the national or international level. Experience in the usage of computers and office software packages (MS Word, Excel, etc) experience in handling of web based management systems.
Language Requirements: Fluency in English, both verbal and written is essential; working knowledge of at least one other official UN language is desireble. Knowledge of Arabic or Somali an asset.

- Collaborate with AVSI Kitgum Administration and Programme Managers to ensure full respect of AVSI and donor policies on internal control and conflict of interest.
- Locate qualified technicians to ensure timely and effective repair of AVSI structures and equipment.
- Responsible for AVSI office compounds and housing management.
- Work in close collaboration with AVSI Uganda Operations Manager in the procurement of equipment (choice, planning of purchases, etc).
